1. Information We Collect
We collect limited personal and account information necessary to provide and operate EquipFlow. This may include:
Name
Email address
Company name
Account and tenant information
EquipFlow plan and licensing information
Device registration and entitlement information
Legal acceptance records
Support and account communications
Billing and transaction-related information when applicable
Payment card information used for online transactions is processed by third-party payment processors such as Stripe. MIG does not directly store full payment card details.

Maintenance Intelligence Group, LLC (“MIG,” “we,” “us,” or “our”) provides EquipFlow. This Privacy Policy explains how information is collected, processed, stored, and shared when you use EquipFlow and related services.
2. Customer Equipment and Maintenance Data
EquipFlow is designed so that customer asset registers, saved maintenance records, spare-parts records, and operational exports are primarily stored locally on the user's device.
EquipFlow does not operate as a cloud-hosted CMMS or routinely store a customer's complete asset register, maintenance program, parts register, or CMMS exports on MIG servers.
However, certain information may be transmitted for processing when a user invokes features that require external services, as described below.
9. How We Use Information
We use information to:
Provide and maintain EquipFlow
Authenticate users
Manage customer accounts and plans
Enforce saved-asset and device entitlements
Process requested AI, OCR, VIN, OEM maintenance, and spare-parts functions
Provide customer support
Process commercial transactions and requests
Maintain security and prevent abuse
Meet accounting, legal, and regulatory obligations
Improve the reliability and operation of EquipFlow

10. Third-Party Services
Depending on the EquipFlow features used, information may be processed by or transmitted to third-party services including:
Google and Firebase for authentication, cloud infrastructure, AI/OCR processing, and related services
NHTSA for VIN decoding
Stripe for online payment processing
Equipment manufacturers, OEM resources, and public information sources when performing requested maintenance, documentation, or spare-parts retrieval
Third-party services operate under their own applicable terms and privacy practices.
11. Data Security
We use reasonable administrative, technical, and organizational measures intended to protect information handled by EquipFlow.
Information transmitted between EquipFlow and supported online services is protected in transit using HTTPS/TLS where applicable.
No method of electronic transmission, processing, or storage can be guaranteed to be completely secure.
- 12. Local Data and Clear Data
Customer asset, PM, and Parts data stored locally on a device remain on that device unless the user explicitly removes them through EquipFlow's Clear Data functionality or through operating-system/device actions outside EquipFlow.
Signing out of EquipFlow, deactivating a device, changing account associations, or changing an EquipFlow plan does not automatically delete locally stored customer equipment data.
Clearing local data is separate from deleting an EquipFlow account.
13. Account Deletion
Users may request deletion of their EquipFlow account.
Account deletion may remove or anonymize account/profile information, tenant membership, roles, device registrations, and other information associated with the user's EquipFlow identity, subject to legitimate retention requirements.
MIG may retain limited information when reasonably necessary for legal, accounting, transaction, fraud-prevention, security, audit, or dispute-resolution purposes.
Deleting an EquipFlow account does not automatically delete customer asset, PM, or Parts information stored locally on a user's device. Local information must be removed separately using EquipFlow's Clear Data functionality if desired.

14. Data Retention
- We retain personal and service information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing EquipFlow, maintaining security, administering accounts and licenses, meeting legal and accounting obligations, resolving disputes, and enforcing agreements.
Retention periods may vary depending on the type of information and why it is maintained.
EquipFlow is intended for business and professional use and is not directed to children.
We do not knowingly design EquipFlow for or market EquipFlow to children.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to EquipFlow, our practices, or applicable requirements.
We will update the effective date when we make material changes.
